What is SharePoint Online?

SharePoint Online is a cloud-based platform which is part of the Microsoft 365 platform. SharePoint provides a platform for communication, collaboration, document management and workflow tools that any size organisation can use to improve productivity, security, and compliance.

While most organisations using Microsoft 365 have SharePoint available to them, very few take full advantage of the benefits it offers.

  • Communication

A corporate intranet can assist any size organisation to share information with staff, provide centralised access to internal forms, policies, and procedures, and for users to share news.

Qbit can build you a simple single site intranet or expand it to a multi-hub intranet where each department or office has its own multi-site hubs with permissions controlling access to sensitive information or data.

  • Collaboration

By using the power of Team Sites in SharePoint we can create spaces where teams of employees can work together towards common goals, whether it is a departmental team, project team, or a location-based team. Qbit can assist you to set up sites for sharing news, documents, lists of information and more.

  • Document Management Systems

SharePoint contains advanced document management capabilities such as Rights Management, Data Loss Prevention, Sensitivity Labelling, in-Place Legal-Hold, Versioning, Content Approval and much more. At Qbit, we can help you unlock these advanced features as required so that you can meet all your organisation’s compliance and security requirements.

We will work with you to identify ways we can best help you reorganise and classify your documents using metadata (customised tags for your files), file naming conventions, and effective and manageable permissions structures.

  • Workflow Tools

Bringing your organisation’s data and documents into a singular platform such as Microsoft 365 allows you to utilise the advanced workflow tools available – Power Apps for connecting to, and working with data; Power Automate to create automation flows to reduce manual handling of repetitive tasks; and Power BI to present your information in rich visualisations, which enhance your ability to understand and act on your data.

Qbit can assist you with this process of automating and streamlining your workflows by combining the various services of Microsoft 365 to maximise your organisation’s productivity.

Why Use SharePoint Online?

  • Simple sharing and seamless collaboration

SharePoint empowers teamwork with dynamic and productive team sites for every project team, department, and division. SharePoint will enable your organisation to share files, data, news, and resources. Collaborate effortlessly and securely with team members inside and outside your organisation, across PCs, Macs, and mobile devices while knowing you remain in control of who has access to your documents.

  • Engage and inform your organisation

Build cohesion, inclusion, and inform your staff members through your intranet. Drive organisational efficiency by sharing common resources and applications. Tell your story with attractive communication sites and stay in the know with personalised news in SharePoint home and the SharePoint mobile apps.

  • Harness collective knowledge

You are just a click away from what you are looking for with powerful search and intelligent ways to discover information, expertise, and insights to inform decisions and guide action. SharePoint’s rich content management along with valuable connections and conversations surfaced from Yammer enable your organisation to maximise the velocity of knowledge.

  • Transform business processes

Accelerate productivity by transforming processes – from simple tasks like notifications and approvals to complex operational workflows. With SharePoint lists and libraries, Power Automate, Power Apps and Power BI, Microsoft 365 can offer rich digital experiences with forms, workflows, and custom aps for every device.

  • Mobile and distributed

SharePoint is a cloud-based service. As the data you store in SharePoint lives in the cloud it becomes accessible anywhere you have an internet connected device. Use your PC’s browser or utilise the OneDrive and SharePoint apps on your mobile devices to connect to your SharePoint data.

How does Qbit help you with SharePoint?

  • Microsoft 365 Consulting

Qbit IT solutions will have a Microsoft 365 consultant meet with you to understand your organisation’s requirements. Your consultant will help you to identify areas where Microsoft 365 can be used to enhance your business processes, improve your security, and to improve your productivity.

We will discuss your current business processes and how they could be improved. We will work through governance details with you and help you understand how to best control your information, your online work environment, and your legal and compliance obligations. We will work through your online document storage requirements and design a system that meets your needs yet is usable for your staff.

Once the consultation phase is complete, we will provide a document with our recommendations. These recommendations can form the basis of a series of projects to help your organisation achieve its goals.

  • Microsoft 365 Implementations

Qbit IT solutions can build SharePoint intranets and/or document management systems for your organisation. We can build solutions you manage yourself, or solutions that we manage for you.

We can provide guidance around the benefits each of the different Microsoft 365 services and applications can offer organisations and assist with implementing these services and apps for your organisation.

Qbit has the capability to implement Power Platform solutions for your organisation – Power Apps, Power Automate and Power BI – and to integrate these into SharePoint, Teams, and other Microsoft 365 tools.

  • Microsoft 365 Training

Qbit can provide training on most Microsoft 365 apps and services – notably Teams, SharePoint, OneDrive for Business, Planner, and OneNote. These training sessions can be tailored to complete beginners, or for more intermediate users looking to get more from Microsoft 365.

Sessions can be done onsite, or via Teams presentation and we have a range of Microsoft 365 user guides available for our clients.
