Small Business Server 2011 goes end of life in 2020, clients that are still running this version of server need to be looking for a replacement product. For most customers, we will be recommending one of the Office 365 plans with an Essentials Server in-house for data, printing and password control.  

Office 365 is the name that Microsoft has given to its monthly application and services license program.  The cheapest service you can get is Skype for Business at around the two dollar mark per month, and it goes all the way to fifty-one per user. 

If you are simply after a cloud server that manages your mail, calendar, contacts and keeps Outlook and your mobile phone in sync, then Office 365 Exchange Plan 1 is a great option. It, however, does not store your word or excel documents. 

If you want to have the benefits of Exchange, One Drive, Skype for Business and to be able to edit documents in a web browser, then Office 365 Business Essentials is the product for you. 

Both the above plans do not give you the licenses to install Office applications on your PC, phones etc.  So if you have an old version of Microsoft Office, say 2010 or older, then it may be time to look at one of the below plans.

Microsoft has been very generous with office applications, allowing a user to install it on up to five of their own PC’s, and five phones and tablets. You, however, cannot put your license on PC's that you do not predominantly use. 

The first plan with applications, Office 365 Business, does not include any of the services that the first two plans have. However, it includes the applications like Word, Excel and Outlook to install onto machines that you predominantly use. 

One of the most popular plans is the mixing of Office 365 Business Essentials and Office 365 Business, so you get the office applications and the online services like Exchange.  However, if you are the user of a terminal server, you need to look at one of the higher plans that will allow you to install office on a terminal server.

If you want to have office installed on your devices and your terminal server but not need Exchange, Office ProPlus is the first Enterprise plan. If you require Exchange then Office 365 Enterprise E3 has that included.

The good news is that you can mix and match. So if you have 20 staff, but three remote staff use the terminal server then only those three need the Office 365 Enterprise E3 plan and the rest can be on a plan that suits their needs.

Add On’s

Add-ons worth considering are backups and Washmail. 

With Office 365 there are limited backups and recovery options, so adding a third party product could easily save your bacon. We have already seen a Telstra customer lose a full mailbox with no way to recover it.

Inundated with spam emails? Our trusty WashMail is a more effective spam filter than the default spam filter in Office 365. WashMail is a proactive, managed Email protection service, filtering 99% of spam and viruses out of the email stream before they reach your network, eliminating the need to delete unwanted messages and reducing the risk of targeted and malicious attacks, saving you time and money.

If you have signed up for Office 365 with Telstra or any other provider and you are not happy with the service they are providing, you can easily transfer your tenancy to another provider.  We have found that because of the lack of process that many IT companies have around Office 365 many clients are overcharged. Qbit has solved this by automating the billing between Office 365 and our CRM, ensuring that you’re only charged for what you are actively using.

Sadly Office 365 applications cannot be installed on shared hardware. So, for example, in our cloud environment, we are not allowed to use Office 365's Word, Outlook etc, we have to use Service Provider Licensing Agreement (SPLA) licensing.
